Making time for what’s necessary requires a bit of spring cleaning. You have to clear out superfluous tasks to make way for those that add value to your life. Let’s explore how to do this.
Where can you Make Time?
In “How are you Investing your Time?”, we discussed the first step in time management: calculating your current Time ROI. This analysis details how much of your time you are spending in each of 5 categories. Our spring cleaning focuses on 2 of these:
-Important but Delegable Tasks
-“WHYYYYYY?!!” Tasks
The key to making time is to get these off your plate.
Divide “Important but Delegable” and “WHYYY?!” Tasks into Buckets
Now you are going to divvy up your “Important but Delegable” and “WHYYYY?!!” tasks amongst the following 3 buckets:
Stop Doing Now
This bucket will probably feature a lot of the “WHYYYY?!!” tasks. It includes the trivial things you do that are not worth delegating. Dare to question and let go.
Delegate Immediately
Which of your “Important but Delegable” and “WHYYYYY?!” can you delegate immediately? This will depend on whether you have the right delegate available. The right delegate is a person, or app, who is ready and willing to assume the task (for more on how to delegate, click here).
For example, I delegated 2 “Important but Delegable” tasks in different ways. I hired an accountant to deal with my paperwork. Then, I delegated my bank visits to a mobile banking app. Voila! I freed up about 2 hours a week!
Plan to Delegate
This bucket is for stuff you want to delegate, but are unable to at this moment. Obstacles to immediate delegation normally include:
-Staffing = you have no one to whom delegate
-Money = you cannot afford to delegate
-Process = you may need to change systems or processes to accommodate delegation
-Resistance = you may feel uncomfortable delegating these tasks
This bucket requires you to make a plan for each task so you are able to delegate it in the future.
